- Manage complex calendars, schedule meetings, and coordinate extensive travel arrangements (domestic and international) for executives, including detailed itineraries, visa applications, and expense reports.
- Prepare and edit correspondence, presentations, reports, and other documents, ensuring accuracy, professional formatting, and adherence to company standards.
- Act as a primary point of contact for internal and external stakeholders, screening calls, responding to inquiries, and escalating issues as appropriate.
- Organize and maintain confidential files and records, ensuring information is readily accessible and securely stored.
- Plan and execute company events, conferences, and meetings, including venue selection, catering, logistics, and guest communication.
- Process invoices, track departmental expenses, and assist with budget preparation and monitoring.
- Conduct research, compile data, and prepare summaries to support executive decision-making.
- Anticipate executive needs and proactively address potential issues, demonstrating a strong sense of initiative and problem-solving.
- Manage office supplies, equipment, and facilities requests to ensure a productive work environment.
- Minimum of 3 years of progressively responsible administrative support experience, preferably supporting C-suite executives in a large, fast-paced corporate environment.
- Bachelor's degree in Business Administration, Communications, or a related field preferred; equivalent experience will be considered.
- Exceptional proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant business software.
- Superior written and verbal communication skills, with a keen eye for detail and grammar.
- Proven ability to maintain confidentiality and exercise discretion with sensitive information.
- Strong organizational and time management skills, with the ability to prioritize multiple tasks and meet deadlines under pressure.
- Proactive, self-motivated, and able to work independently with minimal supervision.
- Excellent interpersonal skills and a professional demeanor, with the ability to interact effectively with individuals at all levels.
- Experience with international travel arrangements and multi-time zone scheduling is a significant advantage.
