Job Summary:
The Real Estate Manager Assistant plays a crucial role in supporting the Real Estate Manager in various administrative, operational, and client service tasks. This position requires exceptional organizational skills, attention to detail, and the ability to multitask in a fast-paced real estate environment.Responsibilities:
  • Administrative Support:
  • Assist the Real Estate Manager with administrative tasks, including scheduling appointments, managing calendars, and handling correspondence.
  • Prepare and distribute documents, contracts, and lease agreements as directed by the Real Estate Manager.
  • Maintain accurate and up-to-date records of property listings, client information, and transaction details.
  • Client Communication:
  • Serve as a primary point of contact for clients, tenants, and vendors, responding to inquiries and providing assistance as needed.
  • Coordinate property showings, inspections, and open houses, ensuring properties are well-presented and accessible to prospective tenants or buyers.
  • Follow up with clients and leads to gather feedback, address concerns, and facilitate the resolution of issues in a timely manner.
  • Marketing and Advertising:
  • Assist in the development and implementation of marketing strategies to promote property listings and attract potential buyers or tenants.
  • Create marketing materials, including property flyers, brochures, and online listings, and distribute them through various channels.
  • Monitor and update property listings on real estate websites, social media platforms, and other advertising platforms to maximize exposure and visibility.
  • Transaction Coordination:
  • Coordinate real estate transactions from initial contact through closing, including contract negotiation, escrow management, and document preparation.
  • Liaise with title companies, lenders, inspectors, and other relevant parties to ensure smooth and timely completion of transactions.
  • Track transaction milestones, deadlines, and documentation requirements to ensure compliance with legal and regulatory standards.
  • Property Management Support:
  • Assist in the management of rental properties, including tenant communication, rent collection, maintenance coordination, and lease renewals.
  • Conduct property inspections, identify maintenance issues, and coordinate repairs or renovations as needed.
  • Maintain detailed records of property maintenance, expenses, and repairs for financial reporting purposes.
Requirements:
  • Bachelor's degree in Business Administration, Real Estate, or related field preferred.
  • Proven experience (1-3 years) in a real estate assistant or administrative role, preferably within residential or commercial real estate.
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities simultaneously.
  • Excellent communication and interpersonal skills,
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)(Rent Rite Excel) and real estate software applications such as MLS, CRM, or property management software.
  • Knowledge of real estate laws, regulations, and best practices related to property transactions and leasing agreements.
  • Ability to work independently with minimal supervision and demonstrate initiative in problem-solving and decision-making.
  • Flexibility to adapt to changing priorities and deadlines in a dynamic real estate environment.
  • Strong work ethic, integrity, and commitment to providing exceptional service to clients and tenants.
